Project Summary: **
The Mozambique Monitoring and Evaluation Mechanism and Services (MMEMS) project provides on-the-ground support on performance monitoring, data verification, impact evaluation, output, and environmental compliance of USAID/Mozambique activities. The MMEMS main office will be based in Maputo; field offices will be based in Quelimane and Nampula.

Position Summary:
MSI is looking to fill an Events and Travel Coordinator position in Maputo, Mozambique. The Events and Travel Coordinator will report to the MSI MMEMS Director of Finance and Administration (DFA) and work closely with senior MMEMS staff to ensure efficient management and implementation of events and travel and assist with compliant implementation of the MMEMS program. The Events and Travel Coordinator shall be the primary point of contact for all travel and events and shall coordinate detailed travel itineraries, including flights, hotels and ground transportation; event responsibilities will include all aspects of event planning and implementation, and organizing catering requirements.

Responsibilities:

The Events and Travel Coordinator will be responsible for:

Travel and Events:

  • Coordinate conferences and/or requested services including reserving conference rooms and determining catering needs
  • Assist in the preparation of invitations, participant lists, preparing checklists, nametags, table tents and preparing conference materials and informing participants
  • Coordinate and arrange physical maintenance and setup of the conference room as required
  • Maintain event diaries, sign in sheets and all relevant records and files related to travel and conferences
  • Track conference events, inventory and expenditures
  • Coordinate office travel, arranging taxis when required

Administration:

  • Perform data entry as needed and maintain files and databases
  • Photocopy, collate and file documents as required
  • Develop and maintain electronic and hard copy file systems
  • Perform other administrative and clerical duties as needed

Reception:

  • Greet visitors appropriately and clearly determine the purpose of the visitor in a professional manner**;** screen and route messages to the appropriate staff
  • Direct visitors to the correct person as appropriate and prevent entry to uninvited visitors
  • Maintain visitor register/records

Security:

  • Monitor daily security of facility performing checks on visitors and their location assignment in office areas
  • Screen and monitor individuals entering and leaving the reception and immediately report any suspicious behavior to a senior staff member

Period of Performance:
The project period of performance will be five years. Staff contracts are subject to renewal on a yearly basis.

Qualifications:

  • Minimum 5 years of experience in planning, implementing, and coordinating events and travel in Mozambique
  • Experience in office administration
  • High degree of maturity and ability to work collaboratively with others; strong organizational skills and the ability to prioritize work
  • Bachelor Degree in Business Administration or related field
  • Experience with USAID-funded project preferred
  • Proficiency in written and spoken English is required
  • Demonstrated experience in the usage of MS Office package (MS Word, Excel, PowerPoint, etc)
  • Proficiency in written and spoken English is required
  • Ability to travel to regions outside of Maputo on occasion
