Job Title: Project Development Co-ordinator ( PD Co-ordinator)

Reporting to: Azafady Managing Director UK

Location: Azafady London Office, W10 4LG

Contract Type: Full-time

Salary: £18,500 - £23,000- dependent on experience

Azafady is registered charity working in the UK and Madagascar, partnered in-country with various NGOs and community groups. It works on community development and conservation projects with an emphasis on training, capacity building and education, geared towards supporting communities to empower themselves and develop in sustainable ways.

The post of Project Development Co-ordinator is the key role within the London-based PD team and leads co-ordination with the team based in Madagascar, donor compliance, quality control of all reports and proposals across the organisation and the support and development of a small team of UK-based volunteers . The PD Co-ordinator works closely with the Madagascar based Heads of PD, PD Interns and project donors to assure excellent donor relations and timely delivery of applications, project proposals and reports as well as interim information as required. Existing project donors range in size from grants of £500 to grants of £300,000.

This post is an excellent opportunity for someone who has excellent written and organisational skills and is looking for an exciting role within the Development sector with an award winning and effective international development charity.

Main Duties and Responsibilities.

The principal activities of the PD Coordinator include (but are not limited to):

Quality control of all Azafady reports, proposals and applications in accordance with funder guidelines and agreements

  • To proofread paperwork in terms of grammar, style, integrity and alignment with donor expectations, in order to maintain Azafady’s quality standards
  • To provide feedback on written communications to PD interns for their professional development
  • To submit online based submissions on funder platforms
  • On occasion to adapt or oversee the adaption of existing generic proposals to specific forms or formats required by donors
  • To read and advise on donor specific requirements and to check these are aligned in final reports.

· To check budgets and financial reports in documentation for integrity and alignment with donor expectations

  • To prepare suitable cover notes and submit proposals/reports in accordance with funder guidelines and agreements

· To work flexibly, including changing work priorities at short notice and working unsociable hours when it is necessary to meet a short deadline; for example, the submission of project funding documents within the window given by donors

  • To attend monthly Skype meetings with PD managers in Madagascar
  • To schedule upcoming deadlines for the PD team to prepare and negotiate timings to allow proofreading

Manage day-to- day donor relations

· To promptly deal with and/or pass on communications from donors, consulting with the Madagascar-based team where necessary

· To maintain and build trust and understanding in all donor relations, including sensitively highlighting the occasional logistical difficulties in meeting donor requirements

All administration relating to the updating of the donor databases

  • To maintain and continually develop the donor database adding in detail of new communications, submissions, guidelines or outcomes
  • To oversee all donor applications referring to the donor database to assure that approaches are made in the full knowledge of past history and advice
  • To coordinate searches for new donors and add to the database
  • To oversee the use of the database to search for suitable foundations from exiting donors
  • To back up all data

Other responsibilities

· To recruit and manage interns to support all of the above aims provide feedback and capacity building to the interns in the team

· Proofread other organisational documentation where required

· Attend meetings where necessary with Trustees, Managing Director and Director of Programmes and Operations

· To provide core support to the Managing Director where necessary

· To represent Azafady in external meetings with other agencies, donors and partners in the UK

Person specification

Essential

· Meticulous administrative skills and experience of office administration procedures

· Flexible and patient attitude

· High level of attention to detail

· Excellent written and oral communication skills and ability to communicate with a wide range of different audiences

· Ability to work with limited supervision, manage own time and work to deadlines

· Excellent IT skills with a good working knowledge of spreadsheets and word processing

· Ability to manage and train a small team of volunteers and interns to assist in the role

· Ability to provide productive feedback to volunteers and interns in a manner that is sensitive and helpful

· Excellent team player with influencing and motivational skills

· Empathy with Azafady’s charitable aims and a commitment to promoting the Charity’s mission, vision and values

· Interest in international development/conservation issues

Desirable

· Educated to degree level

· Experience of working with sustainable development and or Madagascar

· Experience of working with NGOs or charities

· Experience of working or volunteering in developing countries

Attitude and aptitude

· Demonstrate an understanding of and commitment to Azafady’s ethos and approach and be a good ambassador for Azafady at all times

· Have passion, curiosity and motivation for the job and the ability to enthuse others

· Have a flexible and patient attitude

· Have excellent problem-solving skills

· Be able to work both independently and as part of a team
